Built for car, van, campervan, motorcycle, scooter, e-bike, trailer, boat rentals. Evidence-first documentation for direct bookings.
Built for mobility rentals: car rental, van rental, campervan rental, motorcycle rental, scooter rental, e-bike rental, trailer rental, boat rental, jet ski rental — especially direct bookings (off-platform rentals) where inspection documentation protects both owner and renter.
This is a vehicle rental agreement template + inspection workflow. Not a marketplace. Not a SaaS subscription. The output is a clean file set you can email to the renter and store for disputes.
5-step mobility documentation system
-
Mobility Rental Agreement (Contract)
Define parties, rental period, price, deposit, insurance responsibility, jurisdiction, permitted use, driver requirements, and cancellation terms. See: Rental Agreement Template -
Pre-rental inspection (Checkout)
Record baseline condition with photos: exterior, interior, wheels/tires, windshield, lights, mirrors, accessories, and existing scratches/dents. This prevents “it was already there” disputes. See: Handover Checklist -
Odometer + fuel/charge + key handover log
Document mileage/odometer, fuel level (or battery %), keys/remotes/cards, charging cable, helmet(s), child seat(s), racks, and included equipment. Missing items become measurable, not emotional. -
Return inspection (Check-in)
Repeat the inspection at return. Compare with baseline photos. Note new damage, abnormal wear, excess cleaning, fuel/charge difference, or late return. This turns disputes into evidence. -
Damage claim documentation (Invoice + Evidence)
If damage occurs: reference checkout baseline, attach photos, describe the issue, and issue a structured invoice for claims, insurance, bookkeeping, and dispute resolution. See: Damage Invoice Template
Output goal: fewer disputes about scratches, dents, tires, windshield chips, interior stains, fuel/charge, odometer, late return, and missing accessories.
Dispute triggers this system neutralizes
- “It was already scratched.”
- “That dent wasn’t me.”
- “Fuel level was different.”
- “Odometer doesn’t match.”
- “Normal wear and tear.”
